The Sales, Marketing and Customer Service Administrator is a key player on the One Village Coffee team. They will work with the sales and marketing team to proactively engage One Village Coffee customers, increase customer engagement, and maximize sales & profitability per customer. They are responsible for ensuring order accuracy and being the daily point person for customer interactions. They also support the sales & marketing team through ongoing analysis, data entry, reporting, and website maintenance. This person must demonstrate strong communication skills, be a self-starter, and pay attention to details.



•       Daily Customer Liaison

o  Answer phones and follow up with customers as needed

o  Read and respond to customer emails/website chat

o  Greet, assist, and check out walk-in customers

o  Monitors the company blog and Amazon comments daily

o  Send samples to customers as needed

•       Order Processing and Invoicing

o  Enter sales orders and invoice daily, ensuring pricing and order accuracy

o  Ensure any promotions & discounts are applied to orders

o  Track daily orders via USPS, FedEx, and UPS

•       Business Intelligence

o  Build sales reports focusing on sell out, sell in, per SKU, per customer, and per geographic location

o  Analyze data market per category, per sales channel, and per customer

o  Assist in developing the forecast with the Sales Managers and Directors

•       Sales Administration

o  Monitor customer order lapses through weekly reports and proactively engage customers

o  Assist sales team with customer forms for new items and promotions

o  Monitor monthly submission calendar and assist Sales Manager with submissions

o  Monitor lead lists and email to secure appointments for sales team

o  Utilize CRM system for all sales related activities 

o Attend required and regularly scheduled meetings. Practice and comply with all company policies and procedures including work rules

o  Additional sales administration tasks as needed

•       Marketing Administration

o  Ensure offerings on website are up to date and accurate, adding new coffees and removing discontinue offerings

o  Upload website banner images

o  Ensure Feature Products are up to date and relevant to blog content and current promotions

o  Update presentations and offerings sheets as needed

o  Assist Sales & Marketing Lead in analytics and reporting

o  Additional marketing administration tasks as needed

●      Two+ years of sales, marketing, or business intelligence experience in the CPG industry (food/beverage, grocery retail)

●      College degree or equivalent experience

●      Excellent organizational and time-management skills

●      Strong written and oral communication skills

●      Problem-solving attitude with an eye for detail

●      Self-starter with ability to work independently

●      Proficient in MS Office (Excel advanced), Microsoft Suite and Photoshop

●      Familiar with Shopify and CRM systems a bonus

●      Data analysis & reporting

●      Experience working with several ERP systems is essential

●      Bilingual (English and Spanish) preferred

This position is a full-time salaried position, working a minimum of 40 hours at the roastery in Souderton, PA. This position reports to the Sales Manager during standard working hours Monday through Friday but varied hours as needed to fulfill job requirements.
